Business Operations Assistant

We are looking for a motivated, curious and driven candidate, with strong interpersonal skills and the capacity to work independently to ensure aims and objectives are achieved. The Business Operations Assistant will be a key member of the team at HACT, with responsibility for delivering administrative support services throughout HACT.

This post will suit a candidate who has excellent administrative skills, the ability to quickly learn how to use and maintain new systems, excellent planning skills, as well as good numerical and writing skills, a willingness to work under time pressure, and a commitment to actively engage in delivering policies that support diversity and equality of opportunity.

Salary: £19,565 per annum plus contributory pension 4% - 5%

The Business Operations Assistant will be a part of the creation and maintenance of a supportive, reliable and creative environment, which enables maximum impact from all HACT staff, partners and customers,.

You will also play a key role in supporting project development and delivery to ensure HACT can deliver on its mission. This includes supporting and maintaining HACT’s CRM database (Highrise) and broader support around project management.

You will provide administrative support to the Executive Team, including some diary management, dealing with correspondence, and other support when requested, and will assist with HR systems, governance and day-to-day management of internal supply contracts and IT systems.

Your responsibilities

In this role you will deliver a range of administrative services within HACT and assist the Head of Business Operations with support across the organisation.

You will help the Leadership Team, and broader project delivery team, to manage, deliver and develop HACT's projects and services, including the promotion and support of current interest and engagement.

Supporting project-based events, including external seminars and conferences, is another key aspect of this role. You will travel to events, some which will be nationwide, to provide administrative support.

You will carry out general administrative tasks including receiving post, coordinating suppliers, booking travel, booking meeting rooms, answering the telephone and maintaining paper and electronic files. You’ll also ensure that office equipment and IT systems are maintained and that any problems are quickly rectified.

You’ll provide support to members of the Executive Team, including arranging meetings, diary management, dealing with correspondence, and other administrative support on request.

You will also provide professional front-of-house services, including answering the phone, dealing with queries and requests for information and maintaining/updating the HACT database of contacts.

You will provide support to the Head of Business Operations in governance support to the Board and senior management team.

You’ll contribute to HACT’s business planning and performance processes by operating key monitoring systems and working with the Head of Business Operation and other staff to ensure systems in place are effective, efficient and fit for purpose.

You will also deal with routine financial transactions including the processing of income receipts, invoices, invoicing and petty cash. Play a key role in delivering HACTs credit control systems.

You’ll assist HACT partners (who are not office based) to maximise the use of established systems and assist in ensuring that work is carried out in a healthy and safe way.
