The Cityparks department at Brighton & Hove City council is looking for an experienced and multi-disciplined administrator to lead a small, busy administrative team.

The successful candidate will be responsible for managing the administration team to ensure professional and timely administrative support for all Cityparks’ services, and to review and implement improvements to management systems across the department.

About the role

Brighton & Hove has approximately 147 parks including heritage parks, playing fields and green spaces. We also have more than 3,000 allotments, 50 playgrounds and around 3,200 acres of open space across the city. Most of these public spaces are managed by the council’s Cityparks department which is responsible for providing a high profile, front line service, and as such requires a responsive service to be provided to the public.

Cityparks is seeking to employ a full-time, experienced administrator to lead its small but busy team who provide administrative support to all sections of the department and respond to enquiries from the public and other council services.

The ideal candidate should have extensive experience in all aspects of administration, strong leadership qualities and the ability to effectively prioritise their own workload to meet deadlines whilst managing and developing a team of four administrators.

As Administration Team Leader, the post holder will have a pivotal role in providing effective and reliable communications between Cityparks services, the public, stakeholder organisations and other council departments, and will control management software systems that accurately maintain records, monitor performance and report data; implementing new systems and improving existing ones to and develop and improve Cityparks’ performance and customer service delivery.

As a minimum, the successful candidate will be educated to NVQ level 3 or possess equivalent relent experience.

Contracted working hours are 37 per week, Monday to Friday.

We are seeking an experienced, dedicated and responsible administrator to lead a team of four others and who can demonstrate the following qualities:

  • Educated to NVQ level 3 or equivalent relevant experience

  • Extensive experience working as an administrator including responsibility for developing, implementing and operating IT management systems

  • The ability to effectively organise and prioritise own workload and that of others

  • Ability to work effectively to support the management team and co-ordinate work across various work groups to ensure deadlines are met

  • A demonstrable knowledge of the General Data Protection Regulation (GDPR)

  • An understanding of the components of IT management software systems, how they can improve service provision to customers and how to independently create reports and statistical analysis

  • Knowledge of how an effective complaints procedure operates

  • Proven experience of recruiting, managing, training and motivating staff to create an effective and co-ordinated team

  • The ability to communicate with people at all levels

  • Experience of working in an financial environment, including cash-handling

Your starting salary will be pro rata if the above position is part-time or term-time only.
