We are looking to appoint an experienced, proactive and efficient Clerk to the Governing Board to start as soon as possible. This is a key role providing administrative and procedural advice to the Governing Board, reporting to the Chair of Governors. We have recently undergone a full external review of the Governing body practises and now follow an annual planner which has streamlined all Clerk duties.
This vital position ensures the effectiveness of the Governing Board by meeting the administrative and procedural requirements and enabling the board to have successful discussions. It is essential that the post holder acts independently from the operational running of the school, and confidentiality of sensitive data is paramount.
Primarily the clerk is responsible for preparing agendas in consultation with the Chair of Governors and Headteacher; taking and writing up the minutes of areas discussed by Governors, and distributing documentation and other information to the Governing Board. Several tasks must be completed annually to comply with legal requirements and The Clerk to Governors is responsible for ensuring these matters are attended to efficiently. The Clerk will also need to become familiar with the DFE’s Governance Handbook and provide accurate advice to Governors, as necessary.
There are typically three meetings of the full Governing Board per term and the rare occurrence of extraordinary full Governing Board Meetings and smaller working parties. Usually meetings take place in the evening with a start time between 6pm and 7pm and last on average two hours. A willingness and ability to attend all meetings is essential. Currently these meetings a virtual and we intend to explore hybrid options of virtual and in-person meetings.
The successful candidate will also be expected to attend termly briefing session held by the Local Authority which are held during the working day and also take advantage of other training sessions that may be offered.
Good literacy, numeracy and IT skills are essential. The job requires someone who is a good communicator, who works well on their own using their own initiative and as part of a team. It is expected the successful applicant will work from home using their own computer.
The school pays a fixed amount of 16 hours per month term time only but the hours the Clerk works are variable. Some months the Clerk may work less than 16 hours per month and other months more than 16 hours per month – it is expected that the hours the Clerk works will average out at 16 hours per month during the school year, and is tracked via a timesheet.
