The job role

We are seeking a self-motivated, reliable candidate to work closely within the Asset Team on day-to-day basis. You will be able to work flexibly and have effective communication skills. Ideally you will have previous experience of working within a Facilities Management or Estates Team capacity.

The Asset Team is a key central service of the Council, working across all departments. We deal with all council owned land and buildings within the district. The post holder will assist with operational buildings dealing with service contracts, routine repairs and planned maintenance to delivery of projects. You will be required to assist in the preparation of reports for council meetings. The role will be supporting the Facilities Management and Estate Management aspects of the council owned property portfolio which in itself is relatively small yet varied and interesting. No two days are ever the same.

Excellent organisational skills, good I.T. skills, and good verbal and written communication skills are essential requirements for this role.

The post holder will be responsible for a number of administrative duties including assisting with update to records into the Facilities and Estate Management databases. You will be required to carry out property inspections using software devices uploaded to a central database.

Compliance record keeping will be a key priority while carrying out administrative tasks supporting planned works and projects. These include: Electrical Testing, Legionella, Waste, Asbestos, Cleaning, Fire and Security and various service contracts associated with managing operational buildings. Other records will include: Utility billing, monitoring Energy use, length of contracts and monitoring service dates and renewals. Support collating data for Tender documents, arranging meetings, checking attendee’s availability, booking venues, circulating agendas and relevant paperwork, and where necessary taking minutes.

The role will also assist with the co-ordination of Caretaking operations such as: alarm testing, cleaning contractor audits and cover for opening or locking up of the council offices during periods of absence such as when providing holiday cover. There will be the need to provide additional cover should the need arise over occasional weekends for wedding bookings.

You will also be available to cover on out of hours cover callouts, when Caretakers are not available, for the buildings both at Rochford and Rayleigh. This will involve responding to intruder alarm call outs, weekend opening and closing.

It is essential to hold a driving licence or able to use transport as you may be required to work at other locations.
